Planning Guide
Effortless EventsA simple, no-stress guide to figuring out how many tables, chairs, linens and tents your event needs — by guest count — from a local Inland Empire rental company.
Whether you're planning a wedding, a quinceañera, or a backyard party, the first question is always the same: how much do I actually need to rent? Here's how to get it right so every guest has a seat and every table looks complete.
The math is easy: one chair for every guest. Then add 3–5 extra for late additions, vendors, or a comfort buffer. If you're hosting a ceremony and a separate reception in the same space, you only need one set — they're reused.
Pick your table style, then divide your guest count by how many each seats:
Quick formula: guest count ÷ 8 ≈ the number of dining tables you'll need.
| Guests | 60" round tables | Chairs (incl. buffer) | + Utility tables |
|---|---|---|---|
| 50 | 6 | ~55 | 3–4 |
| 100 | 11–12 | ~105 | 4–5 |
| 150 | 16–18 | ~155 | 5–6 |
| 200 | 22–25 | ~205 | 6–7 |
| 300 | 33–38 | ~310 | 7–8 |
Estimates assume seated dining at 60" round tables (8–9 per table). Banquet-table layouts will land in a similar range.
You'll want one linen per table, sized for the table it covers — a 60" round and a 6 ft banquet take different sizes. Match colors to your palette or theme. See our linen rentals for options, or just tell us your colors and we'll guide you.
For an outdoor event, a rough rule of thumb is about 10–12 sq ft per guest for seated dining (less for standing-only). Make sure you have a flat, clear area and account for the space your tables and a buffet will take. For bigger setups we can help you size it. See tent & canopy rentals.

Plan one chair per guest plus 3–5 extra — so about 105 chairs for 100 guests. For seating, that's roughly 11–12 sixty-inch round tables.
A 60" round table comfortably seats 8–10 guests. Eight gives everyone more elbow room; ten works for a fuller table.
Yes — most events add a gift table, cake/dessert table, one or two food/buffet tables, and a DJ or check-in table. Budget 3–5 extra tables.
