How to Rent for a Backyard Party

Turning your own backyard into the party? Here's how to measure your space, pick the right tables, chairs, shade and heaters, and plan for an easy delivery — from a local Inland Empire rental company.

A backyard party has one big advantage over a venue — it's your space, so there's no rental hall and no time limit. The trade-off is that your yard wasn't built for fifty guests, so a little planning goes a long way. Here's how to rent the right pieces and have them fit comfortably.

Measure your space first

Before you pick anything, walk the yard with a tape measure and a rough plan. You're carving the space into three zones:

  • Seating & dining — where your tables and chairs go. Allow about 100 sq ft per 60" round table once you include the chairs around it and room to push back and stand up.
  • Walking room — leave at least 3 feet of clear aisle between tables and around the edges so guests (and servers) can move without bumping chairs.
  • A food area — a buffet or drink station needs its own spot with a line that doesn't cut through the dining area. Plan one or two utility tables here.

Sketch it out, even roughly. Knowing your usable square footage keeps you from over-renting tables that won't fit — or under-renting and crowding everyone in.

Seating & tables — how many you need

The rule of thumb is one chair per guest, plus 3–5 extra, and roughly guest count ÷ 8 for 60" round dining tables. Backyards often work nicely with a mix of round dining tables and a couple of 6 ft banquet tables for food and gifts.

Estimates assume seated dining at 60" round tables (8–9 per table) plus aisle and food-area space. A standing/mingling party needs less room and fewer chairs.

Shade & cover

An Inland Empire afternoon can get hot fast, so don't leave guests sitting in direct sun. A canopy or tent gives you shade for daytime parties and a little insurance against an unexpected sprinkle in the evening. As a rough guide, plan about 10–12 sq ft per guest for a seated, covered area, and make sure the spot is flat and clear. Tip — measure your gate and access path before delivery day. A standard tent leg, a stack of tables or a cart of chairs has to physically get from the truck to your backyard. Measure the width of your side gate (many are only 36"), note any stairs, steps or tight corners, and clear the path. Telling us about access ahead of time means delivery goes smoothly instead of getting stuck at the fence.

  • Patio heaters — Southern California evenings cool off quickly once the sun goes down. A few heaters keep guests outside and comfortable long after dark.

Delivery & access

Because it's your home, a few minutes of prep makes delivery and setup easy:

  • Clear path — a route from where our truck can park to the backyard, free of cars, hoses, toys and trash bins.
  • Gate width — confirm the gate is wide enough for tables and tent legs; remove the gate if it's a tight fit.
  • Stairs & terrain — let us know about steps, steep slopes or soft grass so we plan the setup.
  • Where things go — mark roughly where you want tables and the canopy so setup lands it right the first time.
